Manage web applications

Overview:

List of web applications currently stored in your account

When you run the SpreadsheetWEB Wizard, in the final step after entering your username and password, the Wizard uploads your Excel(TM) spreadsheet to our server and automatically creates a web application for you.

You can find these web applications under the Web Applications tab in the SpreadsheetWEB Control Panel. Please see the screenshot below.

All web applications are listed in a table. If you have more web applications than can be listed on a single page, the table will spread out over several pages.

Please find brief explanations of the buttons and symbols below:

Web Application Displays the name of the web application as a link. When you click it, your web application opens in a new browser window.
Excel spreadsheet Download the Excel(TM) file that is attached to the web application.
Display Web Application's URL Shows the web address (URL) of a web application .
Edit Web Application Edit setting of a web application.
- Open the 'Data' tab.
Creation Date Creation date of the web application
Online Shows whether a web application is online or offline
Online indicates online; web application is published on the web
Offline indicates offline; others cannot browse to this web application or view it
Access Shows whether a web application is free to the public or can only be accessed by specified users
Free access indicates free to the public, everybody can access the web application
Access restricted indicates that access is restricted to specified users
Group The group to which the web application is assigned to

Find out the web address of your web application

To find out the web address of a web application click this icon Display Web Application's URL in the list of web applications. A new screen will appear displaying the name and address of your web application. See the screenshot below.

View, download and work on saved data

Click the database icon - in the data column to open the data tab to view, download and work on saved data of a web application. Please note, the data tab and database functionality is only available if activated and set up during conversion with the SpreadsheetWEB wizard.

Add web applications

To add a web application click Add web application. A new page will appear where you need to give the web application a name, provide an Excel(TM) spreadsheet, etc. Please see the screenshot below:

Please find explanations for the required and optional fields below:

Name of the new web application Please enter a name for the web application. It can be any name you wish.
Excel(TM) spreadsheet

Please upload the Excel(TM) spreadsheet you wish to use as a web application. Note: Only Excel(TM) spreadsheets that, prior to uploading, have been processed with the SpreadsheetWEB Wizard can be used here.

How does SpreadsheetWEB work? Web application and Excel(TM) spreadsheet are two separate items but the web application uses the layout, the functions and calculations of the Excel(TM) spreadsheet. That means a SpreadsheetWEB web application never works without an Excel(TM) spreadsheet as a source.

Before uploading an Excel(TM) spreadsheet, you must at least once run the SpreadsheetWEB wizard on the file. This is required because the Wizard embeds code in the Excel(TM) spreadsheet that is used by our server-side application.

Status

Available options: online and offline

Online: The web application is published at a specific web address and can be viewed by others in a web browser

Offline: The web application is stored in your account but is not published yet.

Access

Available options: unrestricted and restricted

Unrestricted: Anyone who knows the web address of your web application can open and view it in a browser

Restricted: Only defined users can access the web application, i.e. open it in a browser, view it and perform calculations.

Restricted with registration: Only defined users can access the web application, i.e. open it in a browser, view it and perform calculations, after registering from the login page.

Please see add to group(s) below!

Secure Access (SSL) Available to Team, Professional and Enterprise accounts only.  If selected, data will be sent using SSL, providing enhanced security.
Online availability Here you can select if a web application will be published only for a certain period of time or for as long as the web application will be enabled by you.
Add to group(s) If you chose the access type restricted, only users that belong to the group you specify here, have full access to this web application.
Notes Space for your own notes, which will also be displayed in the web application list in the column Notes.

Once you are ready please click Save to add a web application. To cancel the process, please click Cancel.

Delete web applications

In web applications, select the web applications you wish to delete in the list of web applications by ticking the respective check boxes. Then click on Delete selected web applications above the table. The page will refresh, now showing the updated list of web applications - those that are currently stored in your account.

Change the name of a web application

To change the name of a web application go to the web applications tab, then browse to the web application you wish to edit and in the same row click the edit button, Edit Web Application. A new page will appear with a table showing the current settings of your web application. In the top row, simply overwrite the existing web application name and then click save at the bottom of the page.

Update the Excel(TM) spreadsheet that is attached to a web application

To update the Excel(TM) spreadsheet that is linked to a web application, go to the web applications tab, then browse to the web application you wish to edit and in the same row click the edit button, Edit Web Application. A new page will appear with a table showing the current settings of your web application.

In the second row it says Excel spreadsheet. Here you can simply upload a new Excel spreadsheet. Important: only Excel(TM) spreadsheets that prior to uploading have been processed with the SpreadsheetWEB Wizard can be used here. That means, if you have changed anything in the Excel file, you need to convert the file again using the SpreadsheetWEB wizard and save and close the file before you can upload it.

Assign a web application to a group of users

To assign a web application to a user group, it is required that you have already created a user group. Please see Manage users and groups: How to create a new group

Assigning a web application to a group of users can be done while adding a web application or any time later. If you want to assign the web application to a group while you add a new web application, please see Add a web application.

If you already have a web application that you want to assign it to a group, please go to the 'web applications' tab, then browse to the web application you wish to edit and in the same row click the edit button, Edit Web Application. A new page will appear with a table showing the current settings of your web application. Now go down to the row where it says Add to group(s) and select the group that you want your web application to be assigned to. When you are done, click save.

Restrict access to a web application

Restricting access to a web application is a multiple-step process.

  1. It is required that you have created a group. Please see 'Manage users and groups: How to create a new group '.
  2. At least one user must be assigned to that group. Please see Manage users and groups: How to assign a user to a group.
  3. And finally, access must be changed to restricted.
  4. The web application must be assigned to the same group.

Now for step 3 and 4 please click the web applications tab in the navigation menu. From the list of web application go to the one for which you want to restrict access and click the edit button Edit Web Application in the same row. On the next page, please go to the row where it says Access and activate the option button next to restricted. To assign the web application to a group go to Add to group further down in the table and select a group from the combo box.

Change the online/offline status of a web application

To change the online/offline status of a web application please click the web applications tab in the navigation menu, then browse to the web application you wish to edit and in the same row click the edit button, Edit Web Application. A new page will appear with a table showing the current settings of your web application.

Go to Status. Next to it, activate either the option button online, if you wish your web application to be available on the web, or activate 'offline' if you wish that your web application is only stored in your account but not yet available for others on the web.

Web Services

Wikipedia defines a Web Service as “a software system designed to support interoperable machine-to-machine interaction over a network. It has an interface described in a machine-processable format (specifically WSDL). Other systems interact with the web service in a manner prescribed by its description through the use of SOAP-messages, typically conveyed using HTTP with an XML serialization in conjunction with other Web-related standards. Web services are frequently just Internet Application Programming Interfaces (API) that can be accessed over a network, such as the Internet, and executed on a remote system that's hosting the requested services.”

SpreadsheetWEB 2.3 includes two levels of support for Web Services. The first one is the ability to connect to a Web Service from inside Excel via a SpreadsheetWEB specific worksheet formula. The purpose of this feature is to bring data into an Excel file from external Web Services. An example can be getting real time stock prices for a given stock. SpreadsheetWEB will then maintain the web service connection in the Excel file when converted into a web application.

One type of Web Services Support comes from the Control Panel and allows an excel file, typically incorporating formulas, to be exposed as a web service allowing an external application to connect to this web service and retrieve information.

To begin, log into the SpreadsheetWEB control panel and under the “Applications” tab, click on “Add Web Service.”

The following menu will be displayed and the user will be prompted to insert a name for the web service, select an Excel spreadsheet to upload, determine the status of the application (online/offline) as well as generate an application key. The application key is entirely unique and will be required before connecting to the web service in the future. There is also an SSL option, a disable cache option, an option to set the availability on the web, a place to determine which group it is a part of, and a small section for notes.

Add a Report / Dashboard

There is a new feature in SpreadsheetWEB that allows you to quickly and easily create a fully functional dashboard application. This feature shows up in the Applications tab as "Add Report". For more information, follow this link.

 

Concurrent Data Editing, Single Record Application and SSL

Concurrent Data Editing

Concurrent Data Editing allows record locking to prevent two users from editing the same file at the same time.

Single Record Application

Single Record Application provides the ability to create an application with only a single record. Every time a user accesses this application and presses 'Save', it will overwrite the existing record. In a way, it is similar to working on the same Excel file and saving over and over again.

SSL

SpreadsheetWEB supports SSL Security for Web-Applications.
